The Course Catalog is reviewed annually for the upcoming academic year; however, updates can be made on an as needed basis (eg. Contact information, locations, students allowed per rotation).   • Course Registration and Rosters (including enrollment dates, student information and waiting lists) are available to Course Directors and Coordinators through the following website:

    Automated email notifications regarding course registration will be sent to the Course Coordinator; however, course rosters should be checked regularly as enrollment changes can occur daily.

    **Research and Closed Course Enrollment must be approved by the offering department prior to course registration. No retroactive registration will be permitted.

  • All elective Course Directors and Coordinators are encouraged to employ Canvas, the University of Utah’s chosen learning management system, for course management and communication with students. SFESOM students use this system throughout the curriculum and are very familiar with its use.

  • Registered students should be notified 7-14 days prior to the start of the rotation. In addition to any departmental messages, please include the following information in an email:

    Course Directors and Course Coordinators should be aware of any School of Medicine activities in which students will need to be excused. 

  • Provided it is not in conflict with SOM Policies, Elective Courses retain the authority to determine the allowable number of absences a student may have and still successfully complete their courses.

  • Elective Course Coordinators are responsible for administering and collecting feedback from faculty for clinical and research electives. Course Coordinators will work alongside Course Directors to determine and submit the Student Final Course Grade. Sample Preceptor Evaluation of Student are available below:

  • Required and elective course grades are due four weeks after the end of the registered course date. Reporting Final Course Grades in a timely manner is critical to ensure students receive current feedback about their performance, in addition to providing the department of Student Affairs with adequate time to include relevant coursework in MSPE transcripts, and to release diplomas at the conclusion of the academic year.

    Final grade submission will be monitored by the Administrative Program Coordinator in conjunction with the Associate Dean of Curriculum.

  • Sponsoring departments and/or divisions are responsible for the ongoing improvement and development of their elective courses and should conduct course evaluations on at least an annual basis. The suggested course evaluation includes evaluation of:

    • Course Goals & Competencies
    • Course Content
    • Course Director, Instructors, Facilities
    • Educational Methods
    • Student Assessment and Grading
    • Student surveys of preceptors and course
    • Course Strengths
    • Improvement Needs

    Course Coordinators should retain at least the prior five annual elective course evaluation Forms for periodic audit.

  • The Spencer Fox Eccles School of Medicine (SFESOM) at the University of Utah allows visiting medical students to participate in rotations here through the Association of American Medical Colleges (AAMC) Visiting Student Learning Opportunities (VSLO) Program. These rotations can be in-person or virtual. Visiting students apply to a visiting student rotation through VSLO:https://students-residents.aamc.org/visiting-student-learning-opportunities/visiting-student-learning-opportunities-vslo. Rotations offered by the Spencer Fox Eccles School of Medicine (SFESOM) at the University of Utah are listed in the catalog (link coming soon). 

    • Important Things to Know:

      • Visiting students are welcome to complete up to 8 weeks of clinical rotations and an unlimited number of virtual courses.
      • Visiting Students wanting to receive credit for a rotation must apply through VSLO.
      • Interested in a quick VSLO orientation with the Visiting Students team? Email visitingstudents@hsc.utah.edu.  
      • We have created a Listserv with all coordinator(s) and director(s) emails on it for each of the VSLO courses. If you know of any coordinator or director changes, please let us know so we can add or remove them from the list. Email visitingstudents@hsc.utah.edu. On this listserv we communicate regular VSLO updates, tips and best practices.

    Walk through the coordinator's role during the life-cycle of a visiting student.

    • You are in the VSLO portal, and visiting students have applied. 

      • How do I know a student's application has met the eligibility requirements? Students are required to upload pre-decision documents. Once they have uploaded these documents, the Visiting Students team reviews their eligibility status, and if the student is “eligible or conditionally eligible,” they will have their application sent to you (the coordinator) for review.
      • All applications must be received at least 45 days prior to the start of the requested rotation.
      • If you or your visiting student has any questions about the required post-decision documents or examples, please look at our visiting students' website (https://medicine.utah.edu/students/visiting ).
      • Two of our requirements are a National Criminal Background Check and a Drug Screen. If your student has purchased a 10-panel drug screen or background check through The University of Utah (Certiphi) and has not received an email with further instructions, please have them contact the Visiting Students team at visitingstudents@hsc.utah.edu
    • So your visiting student has submitted the correct post-decision documentation and their paperwork has been sent to HR for review. HR has approved this student's documentation and they are cleared for their rotation. 

      1. Students will receive an “Affiliate ID for student” email saying that they have been cleared and entered into our system and they will be required to activate their UNID. The coordinator will receive a UCard Memo from the Visiting Students team (around 2 weeks prior to the start of the student’s rotation *subject to change), this includes the students UNID and this memo allows them to receive their physical ID badge.
      2. IHC Access
        1. What is IHC
          1. Several of our visiting student rotations are done in partnership with Intermountain Health (IHC) at various IHC facilities. These rotations may have additional requirements and/or paperwork. We encourage you to contact us if you have specific questions about these rotations.
        2. How do you know if you have an IHC course?
          1. We recommend inquiring with your department. If still unsure, please reach out to the Visiting Student team.

      4. Coordinators are responsible for giving students their rotation schedules and any information pertaining to the students' rotation. 
    • If a student decides not to rotate or doesn’t show up, what should I do? Please email the visitingstudents@hsc.utah.edu and let the visiting students team know. 

    • Please CC the Visiting Students email address (VisitingStudents@hsc.utah.edu) on any evaluations you send to a student’s home school. Or you can send the visiting students team a quick email confirming that the evaluation has been submitted online.

    • Affiliation Agreements Process 

      • The University of Utah does not currently require an Affiliation Agreement for Visiting Students. However, if a student’s home institution requires one in order for them to rotate at the University of Utah, please email visitingstudents@hsc.utah.edu with their school's Affiliation Agreement form(s) and the contact information for your institution's Affiliation Agreement manager. 
      • If an Affiliation Agreement is required by the student’s home school, it must be completed and signed by both institutions at least two weeks prior to the start of their rotation. Failure to complete the agreement by this deadline will result in the student not being able to participate in the rotation.

      • Please email the visitingstudents@hsc.utah.edu if you would like to confirm your students for rotations/where they are at in the process. 
      • Students do work through the Post-decision phase, and the Visiting Students team is the only one to “Confirm” the offer in the VSLO portal. This happens after the student has submitted all of their documentation and they have been cleared by HR. 
    • When a visiting student submits their application to the VSLO portal, the Visiting Students team completes an eligibility check of their application to make sure the student meets some of our pre-decision requirements. 

      • One requirement is required clerkships. Typically the SFESOM requires the visiting student to complete 6 core clerkships (Internal Med, Surgery, Pediatrics, OB/Gyn, Psychiatry and Family Med). 
      • However, some courses add another requirement and another course might allow a student to rotate who is missing a core clerkship. This is determined by the course director. If you wish to have an exception to our typical requirements, please email visitingstudents@hsc.utah.edu as we need to update our internal documents to reflect these changes.
